Software selection guide

How to choose flight school management software

Choosing flight school management software means more than comparing feature lists. The system needs to support the people running the school, delivering instruction and preparing for exams. Before comparing plans, describe a real working day and use it as your demonstration checklist.

Start with people and activities

List who manages accounts, prepares lessons and records flights. Separate essential work from occasional activities. A theory-focused school has different needs from a flying club managing members, aircraft and services. Check each role’s screens: students should not have to navigate administrative tools to reach their course.

Flight schools

Test a complete learning journey

Do not stop at the first quiz. Assign a course, open materials, complete an exam and review mistakes by subject. Check whether instructors can adjust questions and time limits, whether interrupted exams resume and how progress is compared. For AI support, ask to see an explanation and which results feed the prediction, not just a final number.

Practice exams

Check bookings and actual flight records

For operations, simulate an instructed lesson and a flight without an instructor. Review how aircraft, pilots and times are selected and how several activities appear on the same day. After the flight, check the link between scheduling and mission: planned times, actual times, objectives and debriefing should be identifiable rather than mixed into one field.

Scheduling and fleet

Trace a charge from start to finish

If you need financial tools, follow a flight through to its pilot-credit transaction. Which rate is applied? Does the total use actual minutes? What remains after a correction? Change an aircraft rate to distinguish new flights from recorded ones. Reports and exports are useful when you can understand where their figures come from.

Administration

Compare plans, access and data migration

Compare annual prices with active students, staff accounts, courses and included modules. Ask how capacity changes work and which activities remain available. If you already use a portal, review the users, exams, materials and images to preserve before migration. Try both administrator and student accounts during the demo to evaluate everyday clarity and usefulness.
